PacEHR 3/9/25 Release Notes

New Features
Artificial Intelligence Update
The Artificial Intelligence system purpose is the streamline the encounter creation process by allowing providers to record their ‘rounding note’ and have that recording converted to a full template. This is an optional feature – Please contact your Client Success Manager for details.
Custom AI Prompts by Template: Each template now supports a custom AI Prompt to ensure all of the data points are accurate and allowing different styles of templates. Example: History and Physical Notes, Chronic Care Management, and Behavioral Health encounters will have custom Prompts.
Auto-Import Historical Data: The AI Encounter now leverages historical patient data to enhance AI-driven encounter documentation, reducing manual entry efforts for providers. By analyzing past records, the system can include relevant details, improving documentation accuracy, speeding up workflows, and ensuring consistency across patient notes.
Mobile Update: iPhones will be able to record Audio files and submit the Audio files to the AI Engine in lieu of a text field to allow the provider to quickly record and move to the next patient without waiting for the Speech to Text to come back.
PALTMed – MovingNeedles: Immunization Monitoring system
The PALTMed - MovingNeedles update enhances patient immunization tracking by providing advanced monitoring capabilities. The feature will show the recommended 6 immunizations for each patient and provide a compliance percentage.
The collaboration between PaltMed, Moving Needles (CDC Funded Project), and Saisystems’ will help with the transparency of Immunization frequency and help prevent unnecessary hospitalizations for the patients. For move information please visit: https://movingneedles.org

Communication Enhancements
Saisystems has added a new functionality to facility better communication with the group. Our two new modules includes a Internal Mail platform (similar to Outlook) and a real time Chat system (Similar to MSTeams) where each user can send messages to others in the practice and link patients to the messages. Messages can be started from the Communication system or from the patient screen itself. The tool will help providers that need to send messages about patients such as On-Call providers and collaboration between two or more providers by creating a group channel.
Secure e-Faxing (Incoming and Outgoing): Allows electronic faxing of patient documents, reducing paper-based communication and improving document sharing efficiency. This is an optional feature – Please contact your Client Success Manager for details.
Enhanced PointClickCare Integrations (APIs)
The PointClickCare API Integration enables seamless data exchange between PointClickCare (PCC) and PacEHR, allowing healthcare providers to access essential patient and facility data effortlessly. This integration reduces manual data entry, enhances accuracy, and ensures real-time synchronization of patient information.
Facility Progress Note: The Facility Progress Note feature automatically syncs Nursing Notes from PCC to PacEHR, ensuring providers have full transparency and preventing discrepancies. Providers can access historical notes, keeping patient records up to date without needing to switch between systems.
Advance Directives: The Advance Directives integration retrieves and displays a patient's end-of-life care preferences collected at the facility within PacEHR. This includes Do Not Resuscitate (DNR) orders, living wills, and healthcare proxies, allowing providers to make informed treatment decisions. Automatic syncing ensures the latest directives are always available, reducing errors caused by missing or outdated documentation across different systems.
Power of Attorney (Patient Contact List): The Contact List feature syncs the patient contact information from PCC to PacEHR, providing access to a centralized directory. This integration ensures all contacts for the a patient are available in the PacEHR application. This list will include the POA for the patient (if notated inside the facility system).
Auto Update Place of Service (POS): The Place of Service (POS) integration synchronizes POS data from PCC to PacEHR, ensuring that patient and their future encounters are tagged with the correct location details. Specifically Short Term Stay vs Long Term Stay Place of services.
Facility Information (Time Zone & Offset): The Facility integration ensures correct time zone handling for facilities listed in PacEHR. Time zone offsets are automatically pulled from PCC, ensuring that appointments, progress notes, medication administration times, and clinical documentation are accurately recorded based on each facility’s local time.
Template Name Configuration: PacEHR now supports two models for sharing 'Template' names to the facility. You can share just the template name or a combination of the template name and the provider signature. The default method is the latter option.
General Enhancements
Encounter Screen: Import Medications: PacEHR now shows two sections for importing medications into an encounter screen. The Facility Medication list is on the top and another list is under, if the group is utilizing DrFirst. Many providers were seeing duplicate medications on the medication list due to twosources of the medication. The update improves the workflow for importing medications, reducing manual data entry and enhancing accuracy.
'PacEHR RAF' Score: Updated the 'PacEHR RAF' scoring to align with 2025 values, improving accuracy in patient risk assessments.
Patient Screen: Medication Removal: PacEHR now allows the provider to manually remove medications from a patient chart where the patient is no longer connected to an integrated facility (PCC/MatrixCare).
Report Screen: The Daysheet Report: Implements pagination in reports, making it faster and easier to navigate large datasets.
User Roles: Provider Specialties options: PacEHR has been updated to utilize more specialties for providers. The list includes ‘Medical Doctor’, ‘Nurse Practitioner’, as well various combinations, improving role-based management and allowing or future reports such as Regulatory Visit compliance.
Security Update: Login Process (Inactive for 14 days): To comply with SOC requirements, any user that has not logged into the platform for 14 days or more will receive a ‘One Time Password’ (OTP) when they attempt to login. This token will be sent directly to their company email address. Once entered the user can utilize the system as normal.
Security Update: User account ‘Locking’: To comply with SOC requirements, any user that have entered the wrong credentials for several logins (7+ in a row) will now be locked from the system. Support will be notified and they will notify the client directly. To unlock a user account you must contact support.
Security Update: Controlling Access to Encounters: PacEHR was updated to prevent users from accidentally opening an encounter that is not currently assigned to them. We have introduced a ‘Break Glass’ approach to allow emergency access allowing providers to retrieve critical patient notes in urgent situations while maintaining audit tracking.
Mobile Enhancements
Mobile App Role Compatibility: The mobile application (iPhone) now works across all user roles, providing consistent experience for different healthcare providers.
Save Password: The iOS application (iPhone and iPad) to utilize the native password system streamlining the login process.
Camera Support: Allows users to capture and upload images directly from their device, improving documentation efficiency.
iPad Navigation Fix: Resolved an issue where the next/previous field command was not functioning correctly with Nuance on iPad, improving usability.
Bug Fixes
Default Facility Not Assigned: Fixed an issue where new users were not automatically assigned a default facility.
Send Diagnosis Codes to DrFirst: Fixed an issue where some ICD Codes did not go to DrFirst automatically.
